How Buying Works
  1. Find an item.
  2. Review the complete listing and the seller’s shipping, cancellation, return, and DOA terms.
  3. Pay securely through Marketplace checkout.
  4. Receive and promptly inspect the shipment.
  5. Mark it received only when satisfactory, or contact the seller and report a problem within the applicable deadline.

How Selling Works
  1. Create the correct Marketplace account and seller profile.
  2. Connect Stripe and complete required payout verification.
  3. Create an accurate, compliant listing with complete delivery and seller-policy information.
  4. Package and ship within the promised timeframe; mark shipped only after carrier acceptance and add tracking when available.
  5. Receive the payout after the buyer marks the order received or the transaction otherwise completes without an open dispute.

Fees and Payouts
  • Buyer: $0 Marketplace fee.
  • Seller: 6%; 5% with an eligible active supporting membership.
  • Vendor: 8%.
  • R2R Sponsor: 0%.
  • Stripe processing fees are separate from the Marketplace percentage. The buyer does not pay a separate Marketplace or processing fee.
  • A full refund returns or credits the applicable Marketplace and Stripe processing fees to the seller; partial refunds are adjusted proportionally under the applicable fee rules.
  • After payout is triggered, bank delivery generally takes about 3–5 business days, subject to Stripe, bank, verification, weekend, and holiday delays. Some accounts which Stripe considers "Instant Eligible" may see payout quicker.

Shipping, Livestock, and DOA
  • Default handling time is 3 business days for non-live items and 5 business days for livestock or biological materials, subject to a safe agreed delivery date.
  • Sellers control offered shipping methods and available dates and must use lawful, humane, species-appropriate packaging and service.
  • Buyers must provide a correct address, monitor tracking, and be available for delivery or agreed carrier pickup.
  • A seller’s DOA terms may be more favorable than the Marketplace minimum, but not stricter. A seller must offer a guarantee of live arrival at minimum.
  • Suspected DOA must be reported through Marketplace communications to the seller in accordance with the seller’s DOA policy.
  • Refunds or replacements will be handled in accordance with the seller’s stated DOA policy.
Back to the top

Cancellations, Refunds, and Disputes
  • Cancellation request will be handled on a case by case basis and should be worked out between seller and buyer and in accordance with the item listing details.
  • A seller may cancel for unavailable or damaged inventory, unsafe weather, unlawful delivery, or suspected fraud and must issue a prompt full refund.
  • Contact the seller through the Marketplace first when practical. That contact must occur within the applicable deadline and does not permit the buyer to wait past transaction completion.
  • Use “Report a Problem” if the seller does not resolve the issue satisfactorily, or immediately for urgent fraud, safety, animal-welfare, contamination, or prohibited-activity concerns.
  • Reef2Reef may review evidence and authorize a refund, partial refund, replacement, cancellation, return, payout release, or other appropriate adjustment.
  • For the complete process, evidence standards, possible resolutions, seller obligations, chargeback provisions, and reconsideration procedure, see the Disputes & Buyer Protection Guide.

Marketplace Rules
  • List only allowed, lawful, safe, and accurately described products or services.
  • Do not list illegal, stolen, counterfeit, recalled, infringing, unlawfully collected, or prohibited items.
  • Use current photographs and clearly identify WYSIWYG or representative images.
  • Do not use misleading coral names, lineage claims, sizes, scarcity, or unsupported claims.
  • Commercial sellers must identify themselves correctly.
  • Do not manipulate reviews, listings, prices, transaction records, or seller classifications.
  • Do not evade Marketplace fees, move payments off-platform, harass users, commit fraud, or request unprotected payment methods.
  • Reef2Reef may edit, reject, remove, or restrict listings and accounts under the enforcement rules.

1. Marketplace account types

The Marketplace account types below are also its account-level classifications. There is no separate seller-level list or performance-level system at launch. Members should choose the type that reflects how they actually participate.

Account type
Who it is
Requirements
Marketplace fee
Buyer
A hobbyist who intends to buy but not sell. This is the base Marketplace account type.
Eligible Reef2Reef account
$0
Seller
An individual hobbyist who occasionally sells from a personal collection or aquarium setup and is not primarily acting as a business.
Eligible Reef2Reef account and completed Stripe seller onboarding
6%; 5% with an eligible, active supporting membership
Vendor
A person or business that regularly produces, propagates, acquires, imports, markets, or sells items or services for commercial purposes.
Eligible Reef2Reef account, completed Stripe seller onboarding, and accurate commercial classification
8%
R2R Sponsor
A Vendor with an eligible, active Reef2Reef sponsorship. Different community sponsorship tiers may exist without changing this Marketplace type.
Eligible Reef2Reef account, completed Stripe seller onboarding, and active sponsor status
0%

Vendor tools and privileges may differ from Seller tools. A higher fee does not make Vendor classification optional when the activity is commercial.

An R2R supporting membership reduces the Seller fee from 6% to 5%. Reef2Reef may correct an account classification based on the nature, frequency, sourcing, presentation, or scale of activity.

Members may not misclassify or divide activity among accounts to avoid Vendor requirements, fees, limits, or verification. Reef2Reef may correct fees, limit features, hold payouts, or restrict an inaccurate account. Account labels are not endorsements.

1.1 Listing limits

Account status
Listing limit
Seller
50
Seller with an eligible, active supporting membership
150
Vendor
500
R2R Sponsor
500+

The listing limit counts open listings, drafts, and listings pending approval. Reef2Reef may assign a higher limit to an eligible account or user group. If an account moves to a lower limit while already above that limit, existing listings may remain, but the member may not create another listing until the counted total is below the applicable limit. Listing limits are access controls, not a guarantee that every listing will be approved or remain available.

2. Fees and seller charges

2.1 Transaction-fee calculation

The Marketplace fee percentages for Buyer, Seller, Vendor, and R2R Sponsor accounts are shown in Section 1. The fee that applies to an order is based on the seller’s account type and any eligible supporting-membership benefit when the order is placed.

The transaction-fee percentage is charged on the transaction cost of the item price plus seller-charged shipping and handling, excluding sales tax collected by the Marketplace if applicable. The fee is calculated per order and rounded to the nearest cent.

If an order is fully refunded, the Marketplace transaction fee and applicable Stripe processing fee will be returned or credited to the seller. If an order is partially refunded, the Marketplace and processing fees will be adjusted under the applicable proportional-refund rules.

Sellers may not add a separate Marketplace-fee surcharge or set a higher Marketplace price solely to move the buyer to an off-platform transaction. Optional listing promotions, shipping labels, subscriptions, or other paid features must be disclosed before purchase.

2.2 Payments and seller payouts

The Marketplace uses Stripe to process buyer payments and seller payouts. The buyer is charged when the order is placed. The seller’s earnings are held within Stripe and are not paid immediately. This delayed payout is not a traditional escrow service.

The seller must complete Stripe onboarding and identity, banking, business, and tax verification as required. After payment, the seller prepares the order, ships within the promised time, and marks the order shipped only after carrier acceptance. The buyer should inspect the order and select “Mark as Received” only after it has arrived and is satisfactory.

The seller’s payout may be triggered when the buyer marks the order received or when the transaction otherwise completes without an open dispute. Reef2Reef may pause, complete, cancel, refund, or otherwise adjust the transaction after reviewing a reported problem. Once triggered, a bank payout is not instant; sellers should generally allow approximately 3–5 business days, subject to Stripe, bank, verification, weekend, and holiday delays.

A buyer must report an order problem before the transaction automatically completes. Opening a timely report may pause or delay payout while the issue is reviewed. Marking an order received may release the payout and should not be done before inspection.

3. Listing standards

The Marketplace Terms establish the seller’s legal responsibilities. This section is the practical listing checklist Reef2Reef may use for approval, moderation, and transaction review. A listing must let a reasonable buyer understand the item or service, total cost, important condition information, and delivery method. A seller must:
  • list only an item or service the seller owns or is legally authorized to sell and can deliver;
  • select the correct category and quantity and remove or update unavailable inventory promptly;
  • use a firm price unless the Marketplace expressly enables another pricing format;
  • identify the actual seller and disclose Vendor or commercial status;
  • describe identity, brand, model, size or approximate size, quantity, condition, age when material, and included or missing parts;
  • use current photos and label the listing as WYSIWYG when the pictured item is the one being sold, or as representative when the buyer may receive a comparable item;
  • disclose known damage, defects, modifications, repairs, pests, disease, recent fragging, treatments, collection or origin restrictions, and any material health or safety concern;
  • state handling time, available delivery methods, shipping price or method of calculation, pickup area, return terms, and any live-arrival terms;
  • avoid unsupported claims about rarity, lineage, origin, health, compatibility, performance, authenticity, or legal status; and
  • comply with applicable laws, carrier rules, payment-provider rules, permits, licenses, and category requirements.
Duplicate listings, keyword stuffing, misleading tags, bait-and-switch listings, placeholder prices, and listings primarily designed to redirect members to an external store, auction, private message, or payment method are not allowed.

4. Live animals and biological materials

A listing for coral, fish, invertebrates, marine plants, live rock, substrate containing living organisms, or another biological material must prioritize lawful trade, accurate identification, animal welfare, and safe handling.

Organisms should be identified as accurately as the seller reasonably can. A familiar hobby or trade name may be used, but a seller may not knowingly make a false or materially unsupported claim about species, lineage, origin, rarity, health, or legal status. A naming disagreement by itself is not grounds for a refund unless the listing was materially misleading to a reasonable buyer.

Before listing, the seller must determine that the organism may legally be offered and sent from its origin. The buyer must determine that it may legally be received and kept at the destination. Reef2Reef may ask for source, ownership, permit, condition, or shipping records when a listing raises a legitimate compliance concern and may remove the listing if that concern is not resolved.

5. Prohibited and restricted items and services

The following may not be listed, requested, purchased, traded, shipped, or otherwise facilitated through the Marketplace:
  • illegal, stolen, fraudulently obtained, counterfeit, recalled, or knowingly unsafe items;
  • unlawfully collected, imported, exported, possessed, transported, or traded wildlife or biological material;
  • protected, endangered, threatened, invasive, injurious, quarantined, disease-controlled, or otherwise regulated species when the proposed transaction is not fully lawful;
  • items taken from a prohibited location or acquired in violation of permits, collection limits, fisheries rules, wildlife laws, or conservation restrictions;
  • prescription drugs, controlled substances, or veterinary products requiring authorization the seller does not have;
  • hazardous materials, compressed gases, chemicals, batteries, or other goods that cannot lawfully be offered or shipped using the stated method;
  • counterfeit, infringing, or unauthorized-branded goods or content;
  • services requiring a license, permit, certification, or insurance the seller does not hold; and
  • any item or service prohibited by Reef2Reef, the payment provider, or the proposed carrier.
Reef2Reef does not maintain an exhaustive species-by-species restriction list. Requirements change and may depend on origin, destination, and carrier. Members remain responsible for each transaction even when a general category exists. Reef2Reef may request documentation, restrict delivery, or remove a listing that presents a credible legal or safety concern.

6. Orders, checkout, and communication

Marketplace orders and payments must remain on the Marketplace. A seller may not request payment as a gift, cash equivalent, cryptocurrency, bank transfer, or another unprotected or off-platform method to avoid fees, taxes, records, holds, or protections. A buyer who pays outside the required checkout may lose Marketplace protection and may be subject to enforcement.

Buyer and seller must use accurate contact, payment, shipping, and pickup information and respond to a transaction-related message within a reasonable time. For an active shipping, delivery, cancellation, live-arrival, or dispute issue, the expected response time is 48 hours unless an emergency or stated absence makes that impracticable. This response period does not extend any filing or transaction-completion deadline.

A seller may cancel before shipment if the item is unavailable, damaged, unlawful to deliver, affected by unsafe weather, or involved in suspected fraud, but must explain the cancellation and issue a full refund. Repeated seller-fault cancellations may affect seller level or Marketplace access.

7. Shipping and handling

7.1 Handling-time standard

“Handling time” means the time from payment confirmation until the item is physically accepted by the carrier. Creating a label or sending a tracking number does not mean an item has shipped.

Unless a listing clearly states a different handling time before purchase:
  • Non-live items should be shipped within 3 business days after payment confirmation.
  • Live animals and biological materials should be shipped within 5 business days after payment confirmation, but only for an agreed delivery date and when weather, carrier service, packaging, and recipient availability reasonably support safe arrival.
  • A custom-made, commissioned, quarantined, conditioned, or pre-order item must state a specific handling period or ship-by date in the listing.
A seller who cannot meet the promised handling time must notify the buyer before it expires, provide a reasonable revised date, and let the buyer accept the delay or cancel for a full refund.

Unless the buyer agreed to a later date, an order that has not shipped within 7 calendar days after the original promised ship-by date may be canceled for a full refund. Reef2Reef may act sooner when law, safety, fraud review, or the listing terms require it.

7.2 Live-shipment safeguards

Live shipments must use humane, species-appropriate containers, insulation, temperature control when reasonably needed, sufficient water or breathable packaging as appropriate, and a service reasonably expected to deliver within the promised transit time. Sellers must consider forecast conditions at origin, destination, and major carrier hubs.

The seller and buyer must agree on the expected arrival date. A seller must not knowingly ship a live item to arrive when the buyer has said no responsible recipient will be available. Weekend, holiday, hold-for-pickup, and signature services may be used only when appropriate for the item and disclosed or agreed before shipment.

7.3 Lost, delayed, damaged, or undeliverable packages

The seller remains responsible for communicating with the carrier and providing reasonable assistance with a trace or claim. Carrier insurance does not replace the seller’s obligations to the buyer. A buyer must promptly report an incorrect address, missed delivery, visible damage, or tracking problem and preserve the item and packaging while a claim is reviewed.

The party responsible for loss caused by an incorrect address, unauthorized reroute, missed delivery, inadequate packaging, prohibited shipment, or other avoidable conduct may be required to bear the resulting cost. Reef2Reef may allocate responsibility based on the listing, messages, tracking, carrier records, photographs, and other reliable evidence.

8. Local pickup & services

8.1 Local pickup

A local-pickup listing must identify the general pickup area before purchase without publishing a private residential address. Buyer and seller must agree on a reasonable time and safe location. Unless they agree otherwise, pickup should occur within 7 calendar days after payment.

At handoff, the buyer should inspect the item and both parties should confirm pickup through the Marketplace. A buyer who accepts an item after a reasonable inspection may still report hidden defects or material misdescription but may not claim non-delivery. Neither party is required to enter a private residence or proceed with an exchange that feels unsafe.

8.2 Reef services

Reef services are separate from reef events and may include aquarium maintenance, tank sitting, setup, moving assistance, photography, education, or other approved aquarium-related work. A service listing must describe the provider, service area, scope, price or pricing method, scheduling terms, supplies or equipment included, cancellation terms, and any material limitations.

A provider must accurately state experience, credentials, insurance, licenses, and business status and may not offer veterinary, electrical, plumbing, structural, wildlife-handling, or another regulated service without the authorization required by law. Buyer and provider are responsible for agreeing on property access, animal-care instructions, emergency contacts, keys or alarm information, and responsibility for equipment, livestock, water damage, and other foreseeable risks.

Reef2Reef does not perform background checks or guarantee that a service provider is qualified, insured, safe, or suitable unless the listing expressly states otherwise. Members should protect private information, meet or verify identity appropriately, and use a written scope for any service involving property access or ongoing animal care.

Back to the top

9. Live Arrival and DOA Policy

9.1 Marketplace minimum

A seller of a live animal or biological material must publish a live-arrival/DOA policy. The seller’s policy may be more favorable to the buyer but may not provide less than the Marketplace minimum below:
  • The item must be alive at the first delivery attempt or at carrier pickup when hold-for-pickup was agreed.
  • The buyer must report a suspected DOA through the Marketplace in accordance with the seller’s DOA policy. Buyer should provide clear photographs of the item, shipping container, label, packaging, or any other pertinent information regarding the claim. Reef2Reef may request additional photographs or a short video, but an uninterrupted unboxing video is not automatically required unless that requirement was clearly disclosed before purchase and is reasonable for the claim.
  • Disputes concerning refunds (including shipping costs) will be handled in accordance with the seller’s DOA policy and listing details.

9.2 DOA exclusions

DOA coverage may be denied or reduced when reliable evidence shows that the loss was caused by:
  • an incorrect or undeliverable address supplied by the buyer;
  • the buyer’s unauthorized reroute, refusal, missed first delivery attempt, or failure to collect an agreed hold-for-pickup shipment promptly;
  • the buyer’s failure to make a timely claim or provide reasonably requested evidence;
  • the buyer’s handling after confirmed live arrival, including failure to provide an appropriate environment or follow reasonable acclimation instructions; or
  • a restriction or event the buyer knew about and accepted after clear disclosure.
A seller may not rely on a broad “carrier delay,” “weather,” or “all sales final” disclaimer to avoid responsibility when the seller selected an unsafe ship date, used inadequate packaging, used a materially unsuitable service, misstated the shipment, or failed to follow these Policies.

Back to policy list
Back to the top

10. Cancellations, returns, and refunds

10.1 Before shipment or pickup

Cancellation request will be handled on a case by case basis and should be worked out between seller and buyer and in accordance with the item listing details.

10.2 Non-live items

A seller must state whether buyer-remorse returns are accepted and any return window, condition requirement, restocking fee, and responsibility for return shipping. Regardless of the seller’s optional return policy, a buyer may seek a remedy when an item is not received, materially not as described, counterfeit, unlawfully sold, or damaged because of inadequate packaging.

A buyer should report visible shipping damage within 48 hours of delivery and another material not-as-described issue within 7 calendar days of delivery. The buyer must preserve the item and packaging and provide reasonable evidence. When the seller is responsible, Reef2Reef will determine responsibility for original and return shipping case by case, considering the listing, seller policy, cause of loss, and available evidence. A return must be lawful, reasonably necessary, and safe.

10.3 Live items

A live-animal or biological-material return is considered case by case.

10.4 Refund timing and method

Refunds must be issued through the original Marketplace payment flow. A seller may not require an off-platform refund or store credit when a cash refund is required. Processing time may vary by payment provider and financial institution, but the seller must authorize an agreed or required refund promptly.

11. Reef2Reef Marketplace Chargeback Policy

Reef2Reef Marketplace (“R2R Marketplace,” “R2R,” “we,” “us,” or “our”) uses Stripe to process marketplace payments between buyers and sellers.

This policy explains what happens when a buyer disputes a Marketplace payment directly with their bank, credit card company, or other payment provider.

11.1 Marketplace Disputes vs. Chargebacks

A Marketplace dispute and a payment chargeback are not the same thing.

A Marketplace dispute is opened through Reef2Reef Marketplace and allows the buyer, seller, and R2R to attempt to resolve a transaction issue through the Marketplace.

A chargeback or payment dispute occurs when a buyer contacts their bank or card issuer and challenges the payment directly.

Once a chargeback is initiated, the dispute is handled through the payment processor and applicable card network or financial institution.

11.2 Buyers Should Contact R2R First

When reasonably possible, buyers should attempt to resolve transaction problems through the seller and Reef2Reef Marketplace before initiating a chargeback.
  • This gives R2R an opportunity to review issues involving:
  • Items not received
  • Shipping delays
  • Damaged shipments
  • Livestock DOA claims
  • Items significantly different from the listing
  • Cancellations
  • Refunds
  • Other transaction problems
Nothing in this policy prevents a buyer from exercising rights available through their card issuer or applicable law.

11.2a Buyers Must Provide Accurate Information

Buyers who initiate a chargeback must provide truthful and accurate information to their bank or card issuer.

A buyer may not seek or retain more than one reimbursement for the same transaction.

For example, a buyer may not knowingly retain both:
  • a refund from the seller or R2R; and
  • funds returned through a chargeback
for the same loss.

R2R may investigate suspected chargeback abuse, fraudulent claims, or attempts to obtain duplicate reimbursement.

11.3 Seller Responsibility for Chargebacks

Sellers are responsible for accurately describing their listings, properly fulfilling transactions, complying with their stated policies, following R2R Marketplace policies, and maintaining evidence relating to their transactions.

A seller may be financially responsible for a chargeback, refund, reversal, dispute fee, or other loss arising from or relating to the seller’s transaction, including claims involving:
  • An item that was not shipped
  • An item that was not delivered
  • Incorrect or misleading tracking information
  • An item materially different from its listing
  • Incorrect items
  • Shipping or packaging failures
  • Livestock condition or DOA issues
  • Failure to comply with the seller’s posted DOA policy
  • Failure to provide an agreed refund
  • Seller fraud or misrepresentation
  • Violations of Marketplace policies
  • Other circumstances reasonably attributable to the seller or fulfillment of the transaction
R2R may determine responsibility based on the facts and circumstances of each case.

Chargebacks caused primarily by unauthorized payment activity, stolen payment credentials, payment-processing fraud, or other circumstances not reasonably attributable to the seller may be handled differently at R2R’s discretion.

11.3a Authorization to Recover Seller Funds

By selling through Reef2Reef Marketplace, the seller authorizes R2R, to the extent permitted by applicable law and our payment processor’s capabilities, to recover amounts for which the seller is responsible.

R2R may recover these amounts by one or more of the following methods:
  • Reversing or recovering funds transferred to the seller’s connected Stripe account
  • Deducting amounts from the seller’s available Marketplace or Stripe balance
  • Offsetting amounts against future Marketplace sales
  • Withholding or adjusting future payouts
  • Applying reserves or amounts otherwise payable to the seller
  • Requesting payment directly from the seller
  • Using other recovery methods permitted by the Marketplace Terms, Stripe, or applicable law
A seller remains responsible for an amount owed even if sufficient funds are not immediately available in the seller’s Marketplace or connected Stripe balance.

11.3b Payout Holds

When R2R becomes aware of a chargeback, suspected fraud, significant transaction dispute, or other financial risk, R2R may delay, hold, restrict, or adjust a seller’s pending payouts when reasonably necessary to investigate the matter or protect the Marketplace from loss.

R2R may also temporarily restrict selling activity while a significant payment dispute is under investigation.

11.3c Seller Cooperation Required

When a chargeback is received, the seller must cooperate with R2R and provide requested information promptly.

Requested evidence may include:
  • Shipping receipts
  • Carrier tracking
  • Delivery confirmation
  • Signature confirmation
  • Photographs or videos
  • Screenshots
  • The original listing
  • Buyer/seller messages
  • Livestock packaging information
  • Shipping dates
  • DOA photographs
  • Seller policies
  • Proof of replacement or refund offers
  • Any other information relevant to the transaction
Because card issuers impose response deadlines, sellers may be required to provide evidence within a short period of time.

Failure to provide requested information may affect R2R’s ability to challenge the chargeback and may be considered when determining seller responsibility.

11.4 R2R May Challenge a Chargeback

R2R may submit transaction information and evidence to Stripe, the card network, and/or the buyer’s financial institution when we believe a chargeback should be challenged.

R2R does not guarantee that any chargeback will be successfully challenged.

The final decision may be made by the buyer’s bank, card issuer, card network, payment processor, or other financial institution involved in the dispute.

11.5 If a Chargeback Is Won

If disputed funds are returned and R2R previously recovered money from the seller, R2R will determine the appropriate amount to return or credit to the seller after accounting for any applicable fees, losses, adjustments, or other amounts owed.

11.6 If a Chargeback Is Lost

If the chargeback is decided in favor of the buyer, R2R may recover from the responsible seller:

The seller’s portion of the transaction

Refund amounts

Chargeback or dispute-related fees

Other direct transaction losses for which the seller is responsible under the Marketplace Terms

R2R will not charge a seller for amounts for which the seller is not responsible under this policy or the Marketplace Terms.

11.7 Chargeback Abuse

Chargebacks are an important consumer protection mechanism and buyers are entitled to use them when appropriate.

However, knowingly filing false claims, misrepresenting transaction facts, attempting to obtain duplicate reimbursement, or otherwise abusing the chargeback process may result in Marketplace account restrictions or termination.

R2R may also provide transaction records and other relevant evidence in response to a disputed payment.

11.8 Account Restrictions

R2R may restrict, suspend, or terminate Marketplace privileges when a buyer or seller demonstrates a pattern of:
  • Fraudulent activity
  • Excessive chargebacks
  • Chargeback abuse
  • Failure to fulfill transactions
  • Failure to pay amounts owed to R2R
  • Failure to cooperate with transaction investigations
  • Other activity creating unreasonable financial or Marketplace risk
Any action will be based on the circumstances of the account and transaction history.

11.9 Relationship to Other Marketplace Policies

This Chargeback Policy should be read together with the Reef2Reef Marketplace Terms of Service, Buyer Policies, Seller Policies, Livestock Policies, Shipping Policies, and DOA Policies.

If there is a conflict between this policy and applicable law, applicable law controls.

12. Marketplace buyer protection

Marketplace protection applies only to eligible orders paid through Marketplace checkout. Off-platform payments, including gifts, cash equivalents, cryptocurrency, transfers, or outside payment apps, are not covered.

12.1 Eligible claims

A buyer may request review for non-receipt, material misdescription, counterfeit or unlawful goods, damage caused by inadequate packaging, or an eligible Live Arrival/DOA claim. The buyer should first contact the seller through the Marketplace unless urgent fraud, safety, or animal-welfare concerns justify immediate escalation.

12.2 Filing deadlines and evidence

Report the problem before the transaction automatically completes and meet any more specific deadline: any stated DOA deadlines, 48 hours for visible shipping damage, and 7 calendar days for another material not-as-described issue. Provide reasonably requested photographs, tracking, messages, or other evidence, subject to the biological-material safety rule in Section 9.

12.3 Exclusions and maximum recovery

Protection does not cover an off-platform payment, prohibited transaction, buyer remorse outside the seller’s stated return policy, an ordinary variation disclosed in the listing, a naming disagreement without material misrepresentation, post-delivery husbandry loss, or loss caused by the buyer’s address, reroute, missed delivery, handling, or other avoidable conduct. Services are covered only if the applicable Marketplace transaction flow expressly provides service protection.

The maximum Marketplace remedy is the amount the buyer paid through the Marketplace for the affected transaction, including the affected item price and any shipping or tax that Reef2Reef determines should be returned. Marketplace protection does not reimburse consequential loss, replacement-system cost, lost livestock value outside the order, lost profit, travel, labor, or another indirect expense.

12.4 Refunds and chargebacks

Refunds and adjustments ordinarily come from transaction funds, seller balances, reserves, future payouts, or other seller amounts; Reef2Reef administers the process but does not promise payment from its own funds when seller funds cannot be recovered.

A buyer should use the Marketplace claim process before filing a payment chargeback. A chargeback does not create a second recovery. Reef2Reef may pause the Marketplace claim, submit transaction evidence to the payment provider, offset duplicate amounts, and restrict chargeback abuse. Sellers must cooperate with evidence requests and may be responsible for dispute losses and provider fees where permitted.

12.5 Decisions and reconsideration

Reef2Reef may consider the listing, messages, tracking, delivery and payment records, photographs or video, seller policy, and other reliable evidence. It may approve or deny a refund, return, replacement, credit, cancellation, payout release, or other appropriate adjustment.

Either party may request one reconsideration within 7 calendar days after the decision by identifying a material factual error or providing relevant new evidence. Reef2Reef will aim to respond within 10 business days. A payout hold, fraud or safety restriction, evidence-preservation requirement, or legally required action remains in effect during reconsideration unless Reef2Reef decides otherwise.

13. Reviews and transaction feedback

A review must concern a genuine Marketplace transaction, reflect the reviewer’s honest experience, and focus on relevant facts such as accuracy, communication, packaging, shipping, condition, pickup, and resolution.

Members may not create fake transactions or reviews, review their own account, manipulate reviews, compensate favorable reviews, use review threats to obtain a benefit, or include harassment, threats, private information, discrimination, or knowingly false claims.

Reef2Reef may label verified transactions and remove or limit a review that violates policy. Reef2Reef generally will not remove a review merely because it is negative or disputed. A member may report a review and provide transaction evidence for review.

A buyer or seller may submit a review as soon as the transaction becomes eligible for review in the Marketplace. There is no additional Marketplace waiting period or policy-imposed submission window. Reviews publish according to the Marketplace’s current technical flow; neither party may demand that the other delay, change, or withhold an honest review.
